Welcome to Primary Tutor Project!

Dear parents,

Thank you for entrusting the Primary Tutor Project with supporting your son or
daughter’s learning. We are happy to have you on board as our latest family.
Choices about your child’s education are very personal and meaningful, so we are grateful for your support.

We are a small tutoring business based in the UK, who specialise in providing
highly experienced British qualified primary school teachers to students. While only established in 2020, Primary Tutor Project has quickly become a trusted provider of quality online tuition with excellent parent reviews.

We are confident that you will be happy with your decision. Callie, the founder of
Primary Tutor Project, your child’s tutor, and the whole team will always be happy
to help you with questions along the way. This pack gives you some more
information about what to expect from working with us.

Following our initial telephone consultation, our experienced lead tutor, Callie, will carefully match your child with one of our exceptional tutors. Ensuring both
you, your child and the tutor are content with the match is of the utmost importance to us before embarking on long-term sessions. As a result, we will organise an introductory one-off lesson.

During this engaging session, the tutor will assess your child’s abilities through interactive activities, helping us identify areas where our tuition can support their growth. Additionally, our tutors will establish a positive rapport, fostering happiness and confidence in their online sessions.

The introductory lesson provides an opportunity for you to familiarise yourself with the tutor’s style and determine if they are the perfect fit for your child. After the trial, the tutor will provide written feedback via email, discussing their observations and insights. We will then promptly get in touch to address any inquiries you may have and assist you in securing a regular slot for tuition.

Group Tuition:
If you choose to enrol your child in a group tuition class, they will have the chance to participate in a one-off session before committing to the half term. This allows your child to experience the group dynamic and decide if it aligns with their learning preferences.

Following your initial session, we will work together to find a regular term-time slot that suits your schedule. We have found that maintaining a consistent routine throughout the school year yields the best results and progress for our students.

Our dedicated tutors are also available for flexible sessions during the school holidays, although these sessions are optional.

To keep track of your lesson bookings, you can conveniently log into Tutorcruncher and access your calendar at any time through the Primary Tutor Project website. It provides a clear overview of your scheduled sessions.

Your tutor will create a personalised learning plan known as the ‘Student Passport.’ This comprehensive document outlines the topics and areas of focus that the tutor will cover each half term. It ensures a structured and tailored approach to your child’s tuition.

Lesson Feedback: After each session, your tutor will provide lesson feedback within 24 hours. This feedback will be sent directly to your email address via Tutorcruncher. It allows you to stay informed about your child’s progress and areas for improvement.

Homework: If you choose to opt-in for homework tasks, your tutor will send them to you via Tutorcruncher after the session. You can conveniently access and submit the homework through the ‘documents’ tab on Tutorcruncher. To ensure ample time for marking, we kindly request that you submit the homework 24 hours before your next session. During the session, the tutor will provide verbal feedback on the homework, if necessary.

From our years of experience with online tuition, we have come up with some Top Tips that will help your child to make the most from our sessions.

  • Generally, children work best in online lessons when parents are out of sight. It allows them to focus on the teacher and fosters independence to ‘have a go’ and ‘make mistakes’ (all part of the learning process!)
  • Please still stay close by, particularly for the first couple of lessons, to troubleshoot any technology problems or to help your child stay focused.
  • We recommend that children have a quiet space at a table, free from distraction. Please provide paper and a pencil. Having a nice ‘tutoring notebook’ that is used for every session helps keep notes together.
  • Ensure your child has had a toilet break and snack/drink before the lesson so they are able to focus.

When these guidelines are followed, the online learning experience is a wonderful way for children to engage with learning outside the classroom setting! We can’t wait to see the benefits it will bring your child! Here are some excellent (and very cute) tips from one of our students!

TutorCruncher is our online platform for connecting students with the right tutors. Once you have decided you would like to use our services, Primary Tutor Project will set you up with a profile on Tutorcruncher to manage
your lessons.

From here, you can see your upcoming lesson calendar, manage payments and see your child’s lesson reports and homework assignments.

A more detailed guide to Tutorcruncher can be found here.

How do I cancel a lesson?
You must contact your tutor or Primary Tutor Project to cancel any scheduled lesson. Any cancellation made under 24 hours’ notice is subject to full lesson fees. We accept three cancellations per year during school term time, however, after that full fees will apply. Please see our full cancellation policy in the T&Cs here

You will be invoiced monthly for all upcoming scheduled lessons. Around the 26th of each month, we send you a payment request by email. This contains a breakdown of the individual lessons scheduled for the month ahead.

The invoice is due before or on the 1st of the month by 5pm.

If there is a problem with payment, for example paying late, we reserve the right to charge an additional £10 late payment fee for administrative work. Please see the T&Cs document here for the full payment terms and conditions.

We offer two convenient payment methods:

Direct Debit: The most effortless way to make payments is through Direct Debit payments. See further details under the ‘Direct Debit’ tab.

Card Payment: Alternatively, you can choose to make a payment using your card. In the email we send you, you’ll find a secure link to make an instant card payment. See further details under the ‘Card Payment’ tab.

Unused credit
If for whatever reason you have unused credit on your account at the end of the month, this will be deducted from your next month’s bill.

The easiest way to make a payment is by setting up a direct debit when you join Primary Tutor Project.

Upon signing up with Primary Tutor Project, you’ll receive an email requesting your authorisation for Direct Debit. Once authorised, payments will be automatically deducted from your account on the 1st of each month (or the last working day before). These transactions will show as ‘Go Cardless’ on your bank statements.

You can manually make the payment each month by following the ‘Make Payment’ link, which is on the email containing your invoice.

Card payment can also be made on Tutorcruncher, by viewing ‘Unpaid Credit Requests and Invoices’ on the homepage.

We recommend saving your card details securely on the system so that you can make payment with one click.

Finding the perfect match between your child and a tutor is super important to us, and we put a lot of thought into it. However, we understand that sometimes preferences can differ, and that’s totally okay! If for any reason you’re not completely satisfied with our initial pick, no worries at all – we’ll be more than happy to arrange for you to try another tutor who better suits your needs.

From time to time, tutors may not be available for your regular term time slot. In this case, we will always try to find a replacement tutor, who can take the session. Our top priority is to make sure your child’s learning continues seamlessly.

If such a situation arises, rest assured that we’ll always do our best to find a fantastic replacement tutor who can step in and conduct the session. Before anything happens, we’ll keep you well informed and let you know beforehand if a replacement tutor will be joining the session.

A full handover will take place behind the scenes, to ensure continuity in your child’s lessons.
